The DASHBOARD is made up of 7 Processes that the Learners would need to manage all their activities. The Alert Menu alerts the Learner of all activities that are DUE or requires attention. Learners can CHAT directly with the Admin via the Admin Chat Menu.
DASHBOARD PROCESSES EXPLAINED
PROCESS 1: ONLINE ATTENDANCE REGISTER
The Learners can SIGN-IN the Daily Online Attendance Register as soon as they arrive at their Workstation and SIGN-OUT when they leave at the end of each day. The Learners cannot EDIT the Attendance Register for the days that they failed to SIGN-IN. Only Supervisors are given the USER RIGHT to EDIT the Learner’s Attendance Register if the Learner had failed to SIGN-IN on any date.
PROCESS 2: SUBMIT LEAVE APPLICATION
Learners are required to submit the Online Application for Annual Leave, Sick Leave, Special Paid Leave, and Unpaid Leave. The Supervisors are alerted via Email and the System Alerts to Approve the Leave Application.
PROCESS 3: SUBMIT STIPEND CLAIM
For the Stipend Payments to be processed by the Administrator, the Learner is required to SUBMIT their Stipend Claim Online. After the Claim is Submitted, the Supervisor is alerted online to Approve the Attendance and Stipend Claim. Thereafter the Claim is processed by the Grant Administrators as illustrated in the Figure:
PROCESS 4: ASSIGNED WORKSTATIONS
The Learners can VIEW the Workstation that had been assigned to them by their Supervisor. Supervisors are required to Register the GPS Location of the Workstation and give the Workstation a Name. Thereafter Supervisors MUST Assign the Registered Workstation to the Learner. The GPS Coordinates of the Assigned Workstation is correlated with the GPS Coordinate of the Learner at the time of SIGNING-IN and SIGNING-OUT the Attendance Register.
PROCESS 5: PROGRESS REPORTS
It is a compulsory requirement for all Learners to SUBMIT regular PROGRESS REPORTS. In the case of the SETA Grant Recipients, the Progress Reports must be submitted before the last day of every month. Failure to submit the Progress Reports will result in the Stipend Payment being withheld. Refer to the FAQ menu on “How to Write a Progress Report”
PROCESS 6: TRAINING PLAN/PROJECT MANAGEMENT PLAN UPLOADED
The Supervisor is required to upload a schedule of the Learner’s Training Plan or Project Management Plan. A Training Plan/Project Management Plan is a timetable of the activities and/or desired outcomes of the Training, Learning, Project Work, or Research, etc. The Plan is intended to guide both the Supervisor and the Learner.
The Training Plan or Project Management Plan should include a brief description of each Task, Duration of the Task, proposed Start Date, and proposed End Date. The Plan can be prepared in either Word or Excel and Assigned to the Learner by Uploading it in Process 6. The Plan is a dynamic document and may be modified as the need arises. PROCESS 7: DOCUMENTATION CENTER
The Learner can VIEW and UPLOAD all the official documents into the Documentation Center.
